Summary – Job Responsibilities – Activities: 

Functions:

  • Ensure accurate and complete processing of Service transactions in AMSC’s Oracle-based ERP system.
  • Assist accounts receivable team with invoice tracking and submission of field service-related invoices.
  • Communicate with customers on past due account balances and communicate any identified potential risks to accounting management. 
  • Provide accurate new order and backlog reporting to accounting management for field service-related activity.
  • Monitor all outgoing shipments to ensure proper timing of accounting treatment based on PO terms.
  • Prepare and monitor a listing of all Service contracts and assist in identifying opportunities for renewals and upgrades to those contracts.
  • Compile monthly metrics which measure effectiveness of the Service organization for use by Service Management and in Monthly Grid Metrics Meetings.
  • Identify ideas for improving Service effectiveness and establish appropriate ways to measure results.
  • Gather, review and recommend approval of expenses for field offices.  Ensure that submittal of expenses is timely and complete. 
  • Monitor and prepare reports for other billable service activities and ensure that the appropriate information is provided to Finance to invoice customers. 
  • Working with Service Supervisors and in-house repair technician, ensure that Field Service inventory is properly tracked, reported and replenished. Ensure that transactions for parts consumption are accurate and complete.
  • Assist Field Service Supervisors and Engineers with logistical issues should the need arise.
  • Provide inputs to annual Field Service expense budget. 
  • Generally promote good communication and effectiveness of the Field Service Department. 
  • Travel is not anticipated but a small amount may be helpful. Occasional need to participate in off-hours telephone calls with field offices. 

Education – Experience:

  • High School diploma mandatory.  Associates Degree in a Business is desirable.
  • Prior experience working in an environment with remote offices is desirable.  

Required Skills, Competencies, Authorities and Training Needs:

  • Knowledge of an ERP system is desirable; Oracle preferred.  Alternatively, demonstrated ability to learn such a system is required.
  • Knowledge of MS Office and especially Excel and PowerPoint
  • Demonstrated ability to multitask and adapt to changing priorities
  • Ability and desire to interact with a number of internal and external customers, maintaining a positive attitude throughout
  • US Citizen
  • Proof of Covid-19 Vaccination required
