As Operations Coordinator, this position provides executive and project support to the Chief Operating Officer and corresponding business units. This includes but not limited to: Retail Banking, Investment Services, Information Technology, Digital Strategy, and Learning & Development.

This position must work and communicate effectively with a broad range of internal team members and external partners; and be able to work independently, solve problems, handle confidential information, navigate sensitive situations, be detail-oriented and well organized, be able to multi-task, and prioritize assignments.

 

POSITION DETAILS

Non-Exempt, 40 Hours

  1. Training: In-Office Training
  2. Hours:  Monday – Friday (Hybrid Schedule, 8:30am-5:00pm)

 

ESSENTIAL JOB FUNCTIONS

  1. Serves as coordinator and assistant to the COO by supporting, tracking and reporting on high-level organizational initiatives. Facilitates various internal meetings by scheduling, compiling meeting agendas, note taking, and appropriately following up on deliverables.
     
     
  2. Manages administrative tasks such as document and information distribution, and communication support on behalf of COO and corresponding business units. Create, format, and edit files such as memos, correspondence, meeting materials, and presentations. Uses a variety of communication channels including email, intranet, chat, phone and in-person.

 

  1. Works closely with team members, managers and leads to help deliver major organizational projects efficiently. Participates in technology projects, serving as an early adopter and tester for new programs, products and services. Serves as point of contact for various working groups across the organization. 
     
     
  2. Manages the data collection, tracking and reporting of key initiatives; such as, sales and service, product development, operational efficiency, digital strategy, member experience, training, and corporate-culture-building programs. Conducts and compiles research related to key initiatives and projects.

 

  1. Works closely with business units to support creation, maintenance and introduction of related policies, procedures, and digital information guides. Manages company knowledge bases (e.g., shared network drives, Intranet, etc), digital guides and reference documents. Ensures that repositories are organized, up-to-date and easily accessible to end-users.

 

  1. Performs all duties in accordance with prescribed regulatory compliance guidelines and credit union policies and procedures.  Uses established protocols and controls to ensure security and privacy is maintained at all times. 

 

  1. Serves as an enthusiastic champion of all things brand and corporate culture. Models and supports the delivery of IC's Mission, Vision and Core Values, with a focus on team member engagement and member experience. Represents the credit union in the communities it serves by participating in civic/community organizations in line with evolving market and community engagement strategies.

 


 NONESSENTIAL JOB FUNCTIONS

  1. Represent IC at various community events as necessary.
  2. Provides support to BCP, DR and Incident Response initiatives and teams.
  3. Participate in event planning and preparation for company-wide events.

EDUCATION/EXPERIENCE REQUIREMENTS (Education, Work Experience, Industry Knowledge) 

  1. Associate Degree or an equivalent combination of professional and academic experience. 
  2. At least five (5) years of related experience providing administrative/project support, preferably within a banking or technology environment.
  3. Demonstrated ability to support high-performing teams through periods of growth and change.
  4. Advanced computing skills including the MS Office suite of applications, with the ability to learn other web-based applications and programs (e.g., Smartsheet, Canva).
  5. Understanding of basic social media concepts and willingness to incorporate into organizational culture.
  6. Experience handling highly confidential and sensitive information with the utmost of discretion.
  7. Experience supporting C-Suite level executives, a plus.

WORK ENVIRONMENT

This job operates in a hybrid capacity, working both in a professional office environment and home office environment.   This role routinely uses standard office equipment such as computers, phones, photocopier/scanner, email and virtual meeting technology. The ability to successfully attend meetings at locations both on and off company property before, during and after the standard workday is essential.

 

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  Physical requirements include, but are not limited to, general office environment, the ability to climb stairs and travel from floor to floor; communicate verbally; ability to travel between various branch locations; ability to hear, understand, and distinguish speech and/or other sounds; keyboarding ability; near visual acuity and the ability to work under pressure.

 

REQUIRED COMPLIANCE TRAINING

Satisfactorily completes all required compliance training and complies with all regulations, which apply within the scope of the position, including but not limited to the Bank Secrecy Act (BSA) and all regulations that fall within the BSA.
