Job Description:

OFFICIAL TITLE:                         Staff Assistant, Hiring Coordinator for Non-Benefited Employees                                 

SUPERVISION RECEIVED:         Executive Director, Chief Human Resources Officer

General Statement of Duties: The Staff Assistant, Hiring Coordinator for Non-Benefited Employees is responsible for the non-benefited employee hiring process, excluding student employees. 


(E) = Essential

  1. (E) Hires, re-hires, and performs all personnel actions for all adjunct and 03 contract, non-benefited employees in HRCMS and internal files; reviews procedures to consistently improve processes.
  2. (E) Maintains data integrity in HRCMS and respective internal files; tracks contract end dates and follows up with hiring mangers on status to ensure accurate records.
  3. (E) Runs queries and reports through Warehouse.
  4. (E) Responds to inquiries regarding contract status and general contract processes.
  5. (E) Serves as a back-up to others in the Human Resources Office for hiring other employee types in HRCMS.
  6. (E) Represents Human Resources with superior customer service skills.
  7. (E) Demonstrates civility and professional, customer-service oriented behavior, worthy of emulation by other staff and students.
  8. (E) Responsible for contributing to the WSU Strategic Plan.
  9. (E) Responsible for contributing to Equal Opportunity/Affirmative Action objectives.
  10. Performs other duties as assigned.



  • 1 - 2 years of experience in an office setting, preferably in human resources, payroll, or accounting
  • Proficient working knowledge of Microsoft Office Suite, especially Excel, as well as Google Sheets and Google Docs; experience with HRCMS and Warehouse preferred.
  • Ability to calculate wages based on credit hours, semester duration, and overall contractual amount; must possess solid basic math skills.
  • Ability to maintain a high degree of confidentiality.
  • Ability to work in a fast-paced environment and handle multiple requests simultaneously.
  • Ability to meet and adhere to strict deadlines.
  • Ability to alter schedule during peak periods for hiring purposes; full-time hours may be necessary at the beginning of Fall semester.
  • Superior customer service skills.


Additional Information:

The firm annual salary range for this position is: $20,000 - $22,000. This is a benefited, part-time, non-exempt, and non-unit position. 

The schedule for this position is 4 hours per day, Monday through Friday.
